AI in SharePoint: What It Actually Means for Your Intranet in 2026

Every few years, SharePoint gets a wave of hype attached to it, and every few years, half of that hype turns out to be marketing gimmicks to sell the same old thing with a fresh coat of paint. That is not the case with AI in SharePoint. This is an entirely different ballgame and, and if you run IT, communications, or operations at a mid-sized or large organization, it’s worth twenty minutes of your time to actually understand it — not the vendor-deck version, the real one.

Here’s the short version, if you only read one paragraph: AI in SharePoint means the platform can now understand what you’re asking for in plain language, give answers to your staff members using your own data rather than simply giving them a huge amount of search results, and create certain elements, like pages, libraries, lists, and entire sites, instead of leaving this process up to you.

It runs mainly on Microsoft Copilot, was implemented throughout the year 2026, and is as good as its SharePoint environment. This is exactly what gets ignored in most articles, and is what makes or breaks the deal for the usefulness of this technology in making you look either smart or embarrassing yourself to your employees.

Now let us look at what’s changed, why it matters, and, more importantly, what we have seen in our experience with actual SharePoint installations at PSSPL that differentiate those companies that have found value in this technology from those who haven’t.

The Old SharePoint Problem, in Plain Terms

If you’ve used SharePoint for more than a few months, then you will be familiar with the nature of the issue. The program has tremendous capabilities but is equally adept at punishing those who haven’t got a good handle on them yet.

Creating a new website involved knowing about certain content types, many of which were unfamiliar to most users. Maintaining an organized document library required tagging documents manually, something that would never get done when anyone else was around – which was always.

Building even a modestly useful workflow usually meant looping in IT or a consultant, because the configuration options weren’t exactly self-explanatory.

This often means that in many companies, the intranet solution does indeed work but that the staff has basically abandoned it behind closed doors.

They bookmark the three pages that really matter to them, ask their colleague on Teams instead of doing research, and make SharePoint the destination of documents which will end up being forgotten rather than the place where users can get all the information that they need.

AI in SharePoint is Microsoft’s attempt to fix that gap — not by adding another chatbot bolted onto the side of the platform, but by rebuilding the core interaction model around plain-language intent.

What AI in SharePoint Actually Does?

Strip away the marketing language and there are really three capabilities at play, and they map to genuinely different problems.

First, it understands what you mean, not just what you typed

Traditional SharePoint search used to be about matching – if there was no match between your request and the document title and tags, you would have received zero results. AI-powered search understands intentions. Requesting “where is the current expense policy” does not require that your document is called precisely like that.

Second, it answers instead of pointing

The second point is that it gives you answers instead of links to documents. It is the first thing people will notice when using this technology.

Instead of being provided with ten documents that might have what you are looking for, you will be provided with actual answers generated on the basis of the content of your organization. For twenty-five years, the task of SharePoint has been storage and retrieval. Now it includes reading and answering questions.

Third, it produces working things, not just suggestions

Define your desired location — “onboarding hub including a welcome page, a checklist and links to the benefits documentation” — and the use of AI in SharePoint will create a real location for you: pages, document library pre-populated with metadata, a list and content. The refinement is yours to do, but it’s the refinement and not construction from scratch.

What is actually shipped as of 2026 covers a number of aspects which you should get familiar with by name since you’ll meet them all:

  • Pages – the most mature feature. Draft pages on the canvas in natural language, reorganize their content, modify tone, create summaries.
  • Libraries – automatically extract metadata and tag files on arrival rather than waiting for some person to manually perform this task.
  • Lists – create and fill lists, query them, ask questions based on the data present in this list.
  • Sites – explain what result you would like to see and receive a suggested architecture to respond and adapt to.
  • Structured Documents – AI recognizes fields in an already created Word template and makes it a form, where answers will be automatically transformed into structured documents that meet all the requirements.

This is not science fiction at all. It’s much more like a constant access to a real professional SharePoint consultant, who would ask you questions, but wouldn’t make assumptions and wouldn’t get bored of explaining content types to you for the fifth time.

Where This Actually Shows Up for Employees?

While it is relatively simple to discuss the concept of “AI in SharePoint,” it is quite difficult to imagine what the difference will be from the point of view of the end-user who will use it on a Tuesday afternoon. There are a few differences that we should definitely mention.

Looking for information is no longer a process of navigation, but rather a conversation where an employee no longer needs to remember which site, library, or folder.

All they need to do is ask the question. What is our current travel policy? What is engineering doing this quarter? What did our CEO say at the recent all-hands meeting? If it’s in SharePoint and reasonably organized, the answer comes back directly.

The content creation process has already been started, as opposed to being started from scratch. The HR team starts describing an onboarding portal rather than building it one web page at a time. The communications team writes an announcement and works on the tone of the message rather than starting the process from scratch.

This process has actually been built many times before AI has become native; a great example is our employee onboarding and offboarding portal work, and it’s precisely the kind of build that AI-assisted page generation now speeds up considerably.

And then workflow becomes increasingly intelligent without anyone having to set up a flowchart. The document that is uploaded, whether it’s an invoice or an expense report, gets interpreted, understood, and forwarded to the appropriate party, instead of waiting in someone’s email for someone to remember to forward it.

And this is highly similar to the work that we’ve been doing for years through Microsoft Power Automate, just with AI now doing more of the interpretation up front.

The Part Nobody Wants to Hear: Your Content Quality Is the Bottleneck

Here’s the honest part, and it’s the reason we’re writing this instead of just running another “AI is here, isn’t it exciting” piece.

AI in SharePoint doesn’t invent knowledge. It starts from the facts that exist within your environment. If your content naming conventions are inconsistent, your metadata is a random collection of what people decided to tag that week, your site structure makes no sense except to the person who created it back in 2019, and nothing ever got archived — then expect the same kind of mess from the AI. Garbage in, confidently-stated garbage out.

This happens all the time. A company activates Copilot with great expectations, asks it a clear policy question, and receives an answer based on three obsolete documents that were never decommissioned. This isn’t an AI error; it’s a content management mistake that AI has made more obvious sooner than it otherwise would have been.

Before expecting real results, it’s worth running an honest internal audit:

  • Are documents being managed in such a way that a third party can navigate them?
  • Is metadata being applied uniformly throughout all libraries, and not only to the ones that happened to get attention?
  • Are old pages being archived, or are they simply accumulating?
  • Are document permissions set according to their visibility, or according to the actual access rights?

It’s not glamorous stuff. No one gets their heart pumping when you talk about a metadata audit. But that’s what it all comes down to — that’s the real backbone on which everything else is built — search effectiveness, Copilot reliability, and employee trust.

You don’t need a twelve-month transformation program to get value from this. A sensible, phased approach tends to look something like this:

  • Audit before you automate: Get the real story on the current state of affairs in your environment before turning anything on.
  • Confirm licensing and admin settings: Copilot and the AI capabilities require a proper Microsoft 365 license plan, as well as correct Microsoft Search & intelligence settings.
  • Fix permissions first: What AI pulls depends on the permissions granted — tightening the boundaries is required before expanding AI capabilities.
  • Start small and specific: Start with getting Copilot to summarize one document collection or draft one page, before deploying AI organization-wide.
  • Clean up metadata as you go: Improving metadata is the single most important thing you can do for both search precision and AI response quality.
  • Pilot with one team: You get genuine feedback on your system from one department’s documents collection or an onboarding portal before launching it across the whole company.
  • Train people, and actually measure adoption: Your software is only effective if used by people who believe in it; a four-minute video beats a forty-page instruction manual.

This step requires specialized SharePoint migration and modernization efforts, and should be discussed prior to any discussion regarding artificial intelligence, because most new AI functionalities are not available in the legacy environment.

Why This Matters Beyond IT?

There is an even more strategic implication here that might get lost if we focus on SharePoint only as a document storage solution. In effect, your intranet will become the place where human employees and AI agents operate together – no longer two different environments, but one. The quality of your SharePoint content and governance will impact the ability of AI agents to respond to queries and compose documents in the first place.

There are a few practical downstream implications worth taking into account. First of all, the process of page creation, list, or library creation from a coding task into a plain language one will make ownership universal.

The HR, communication, and operations departments will be able to create what they need on the go without getting into an IT waiting line, thus, influencing the development of an intranet economy and speed. Also, the gap between companies which have already invested into high-quality content and governance and those that did not will only continue to increase.
